Below are answers of most frequently asked questions.

Windsor Suite is available for travelers flying First or Business class with any airline operating at Heathrow Airport. The service is not available for Economy or Premium Economy class passengers. Children are welcome to use the service, but those under 18 must be accompanied by an adult.

As of June 1st, 2024, the Black service starts at GBP £4,130 + VAT for up to three people, whether for an arriving or departing flight, or for those connecting within three hours.

You can book our services online 24/7 by clicking 'Book Now' on www.windsorsuit.co.uk. Once we receive your booking, our team will review the information and send you a confirmation email if we can accept the booking. To book, we’ll need details of all passengers (names, dates of birth, nationalities, passport numbers, and passport expiry dates), flight number, seat class, and airline booking reference, as well as the names of any friends meeting you. We’ll also need to know the number of bags you’re traveling with and, if applicable, details of the UK address for the chauffeur service, or information about your independently booked driver. If you don’t have the bag and car details at the time of booking, you can provide them later, but we require at least 24 hours’ notice. When your flight lands at Heathrow:

  • We’ll meet you at the aircraft, either on the air-bridge or at the steps.
  • We’ll take your baggage tags and drive you to your VIP suite in a private luxury car while our team arranges for your bags to be collected.
  • You’ll be shown to your private lounge where you can relax with refreshments.
  • We’ll present your passport and documents to immigration officials. You’ll need to be present, but you won’t need to do anything unless additional information or checks are required.
  • Once customs and immigration procedures are complete, you’re free to leave the airport and continue your journey. We’ll notify you as soon as everything is ready.
  • Your chauffeur can take you to any address in the UK (additional charges apply for distances over 25 miles). Alternatively, your own driver can enter our private forecourt 30 minutes before your scheduled landing time to be ready for your arrival.
  • Please note: Chauffeur vehicles are available upon request, subject to availability, and are allocated based on the number of seats needed for booked guests, up to a distance of 25 miles. Additional vehicles (including baggage vans) and extra mileage may incur additional costs.

When your flight is departing from Heathrow:

  • You’ll be picked up at a pre-arranged time and location and driven directly to Heathrow Airport in a luxury chauffeured vehicle.
  • Please note: Vehicles are available upon request, subject to availability, and are allocated based on the number of seats needed for your party, up to a distance of 25 miles. Additional vehicles (including baggage vans) and extra mileage may incur additional costs.
  • If your own chauffeur is driving you to Heathrow, please provide us with the driver’s name and car registration number to ensure smooth access to the VIP suite. Failure to provide details could result in delays. If you’re driving yourself, you’ll need to book the airport valet service in advance. We can arrange this for you. Please note that parking at Windsor Suite is for drop-off and pick-up only.
  • To ensure you catch your flight, please arrive at your Windsor Suite lounge at least 90 minutes before your flight time. Late arrivals may result in missing your flight. If you’d like to go shopping or need to reclaim VAT, please arrive two hours before your flight. Let us know in advance if you have shopping or VAT needs. If you require additional time at Windsor Suite, please contact our booking team for a custom price.
  • We’ll greet you upon arrival and escort you to your private lounge.
  • We’ll take care of your luggage and ensure it’s handed over to your airline. You’ll receive the baggage tags so you can collect your bags at your destination.
  • We’ll handle your check-in with the airline, requiring your passports and any special boarding requests.
  • You’re free to relax in your private lounge, order food and drinks, go shopping, or spend your time however you wish.
  • You’ll be driven to your aircraft in a luxury car. Please inform our team if you prefer early boarding; pre-boarding requests are subject to the airline’s discretion.

  • We’ll hand you over to your airline for boarding.

If you’re connecting from one flight to another at Heathrow:

  • You’ll enjoy the same benefits as arriving and departing guests. We’ll handle all formalities, transport you to and from your aircraft in a private luxury car, and provide you with drinks and snacks.
  • The service for connecting guests is available for up to three hours. If your layover is longer, please book an additional three-hour service for an extra charge.

Windsor Suite takes care of all the airport formalities, giving you more time to relax. We manage everything on your behalf to minimize your involvement and ensure your privacy. However, there may be times when border force or customs officials need to speak with you directly or conduct security checks, which we cannot avoid.

Check-In:
Upon your arrival, we’ll take your passports, flight details, and luggage and hand them over to your airline for check-in. The airline will weigh, tag, and process your bags, and issue your boarding cards and baggage tags. We’ll return your passports, boarding cards, and baggage tags to you once everything is processed.

Security:
We have private security lanes within the Windsor Suite. We’ll make sure you go through security with enough time to catch your flight. The security rules are the same as for any other passenger. You can choose to have your hand luggage and personal items inspected through X-Ray, or you can keep them with you until they are ready for scanning. You and your party will go through a body scanner, and if necessary, you may be asked to undergo a search in a private room.

Immigration:
We will present your passports and documents to Border Force officers. If they need to see you, they will ask questions and expect you to comply with their requests.

Customs:
You’ll need to make standard UK customs declarations while using the VIP Suite. We’ll handle the process with customs on your behalf, but if you have anything to declare or specific requirements, we will arrange it.

At Windsor Suite, your experience includes a variety of complimentary food and drinks. We serve food and beverages all day between 05:00 and 22:00, featuring dishes crafted by our executive chef and his experienced team using fresh, locally sourced ingredients. Whether you prefer light snacks or more indulgent options, we aim to make you feel as comfortable as you would at home. We also offer a fine selection of wines, beers, champagne, fresh juices, and soft drinks. If you have special requests or dietary needs, please let us know in advance.

Whether you’re looking for specific brands, need style advice, or want the perfect gift, our personal shoppers are here to assist. They can guide you on a shopping trip, shop with you, or even do the shopping on your behalf if you prefer to stay in your lounge. Just let us know, and we’ll handle the rest.

Our lounges feature a menu designed by British Michelin-starred chef Jason Atherton, offering both meals and light snacks. You can order food between 05:30 and 22:00. If you’re in the lounge outside of these hours, we provide a drinks service only.

Yes, you can invite up to two non-travelling guests to meet you in your lounge. They may arrive up to 15 minutes before you and should depart once you’ve left for your flight.
